The Associate will support the operations & procurement function to ensure the team is functioning efficiently and effectively and aligns to support attainment of project results and client expectations.
Responsibilities
Support the execution of responsive and appropriate operations management systems (e.g. office management, local procurement, fleet management, logistics, etc.) in line with laws, MSH policies, and donor requirements.
Align staffing and systems with project needs and resources for timely and cost-effective administrative services.
Ensure effective and compliant operations support in an environment with adequate internal controls.
Collaborate with the Operations/Procurement Manager to resolve issues and communicate with other MSH offices as needed.
Operations
Support property and asset management, including maintaining inventories and registers.
Facilitate vehicle insurance, inspection, registration, and operations.
Conduct end-to-end processes for engaging hotels, caterers, and venues.
Manage travel and vehicle hire services per MSH policies.
Procurement
Support purchasing activities: source quotations, prepare vendor sheets and purchase orders, verify deliveries and invoices.
Maintain a procurement tracker for all goods and services.
Identify and manage vendors for office supplies, IT, courier, transport, hotels, etc.
Ensure timely and complete procurement processes and documentation.
Negotiate rates and issue agreements per policy and delegation.
Support vendor prequalification and establish long-term agreements.
Facility Management
Assist in managing MSH offices to ensure a safe and efficient work environment.
Oversee general office services including security and cleaning.
Support property and asset management efforts.
Fleet Management
Schedule and manage use of fleet per MSH policies.
Logistics
Support coordination of travel logistics and payments for in-country travel.
Manage lodging, transportation, per diem, and payments for participants, events, and workshops.
Qualifications
Bachelor’s degree in business administration, financial management, accounting, or related field (or equivalent experience).
At least 3 years supporting health or development program operations in developing countries.
Minimum of 2 years in operations management, preferably in Nigeria.
Comprehensive knowledge of donor-funded programs and requirements.
Familiarity and success working in the Nigerian context.
Strong organizational and prioritization skills with attention to detail.
Ability to work both independently and in teams.
Excellent planning, facilitation, and communication skills.
Professional reputation and interpersonal effectiveness.
Strong oral and written English communication; cross-cultural communication ability.
Understanding of USG regulations and administrative procedures.
Familiarity with other donor requirements.
Fluency in English and local Nigerian languages.
