Malaria Consortium is recruiting for a Finance Assistant
to join our team in Borno, Nigeria.
Job Summary
The Finance Assistant will provide finance functions, including clerical work and accounting services,
ensuring proper financial records of all transactions in accordance with MC financial procedures
in the respective field offices.
The Finance Assistant will be responsible for the timely filing of field/country office monthly
financial information, including payment vouchers, bank information, financial correspondence, etc.
S/he will also maintain orderliness within the finance department.
This role involves managing payment documentation, advising the Project Manager, Technical Officer,
and Financial Accountant on financial matters, and sharing areas of concern with suggested solutions
within his/her capacity.
The Finance Assistant will report to the Project Manager while interacting with other staff, including
the Operations Officer, Administrative Officer, and other technical staff. S/he will also work with
stakeholders, local government, and communities in the state and indirectly report to the Country Finance Officer.
Key Responsibilities
Finance Work (50%)
Review all transactions and ensure completeness of documentation and approvals.
Review attendance using the approved database and prepare payment schedules for SMC personnel.
Prepare payment vouchers, ensuring correct cost classification and coding.
Receive payment advice and attach relevant documents for filing.
Prepare payment schedules for meetings, workshops, training participants, and consultants.
Ensure compliance with MC policies by scrutinizing payment requests and procurement forms.
Monitor stock balance of financial documents and make timely orders to prevent stockouts.
Work with the Finance Officer to ensure proper documentation and filing of payment vouchers.
Advise the Finance Officer on financial concerns and suggest solutions.
Maintain an Excel journal template for recording all payments and share it weekly with the Finance Officer.
Suppliers Invoice (15%)
Track and receive all invoices from suppliers & vendors and prepare invoice authorization forms.
Prepare all invoice payments and obtain approval from authorized personnel.
Operations Related Work (30%)
Archive, scan, and file all finance documents, ensuring they are safe and accessible.
Ensure finance documents (PVs) are filed according to the Malaria Consortium Finance Manual.
Collect and track timesheets for all field office staff.
Maintain a tracker for all payment documents sent to or received from Abuja.
Other Duties (5%)
Support audits by making relevant documents available.
Assist in asset spot checks and physical verification.
Qualifications & Experience
Essential
OND/HND or Bachelor's degree in Accounting.
Minimum of 2 years of experience in a finance team, with at least 1 year in an Accounts Officer position.
Desirable
Experience working in an INGO is an added advantage.
Proficiency in Microsoft Excel and other software skills.
Skills & Competencies
Essential
Excellent interpersonal and communication skills.
Knowledge of NGO donors and their financial reporting requirements.
Proficiency in Microsoft Excel and strong computer skills.
Good analytical and reporting skills.
Ability to manage and prioritize multiple tasks effectively.
A willingness to learn at all times and the ability to work independently.
Desirable
Working knowledge of accounting software.
Trustworthiness, stress tolerance, and operational decision-making skills.
