Requirements
To perform effectively in this role at HONJEK TECHNICAL LIMITED you should have the following:
Essential Qualifications & Experience
Minimum of a National Diploma (Business Administration, Office Management, or related field) or equivalent credential.
At least 2 years of experience in an administrative/secretarial role (more preferred given the dynamic nature of the business).
Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) with the ability to learn company-specific systems quickly.
Skills & Competencies
Excellent written and verbal communication skills; able to draft professional correspondence and interact confidently with clients.
Strong organizational, time-management and multitasking skills; ability to prioritize and meet deadlines in a dynamic environment.
Good interpersonal skills, including the ability to liaise with field teams (electrical/solar technicians), clients, vendors, and management.
Attention to detail with the ability to maintain accurate records, databases, and filing systems.
Discretion and confidentiality when handling sensitive information, staff records, and contracts.
Basic knowledge of office equipment and administrative systems (scanning, photocopying, mail handling) and ability to monitor and order supplies.

Responsibilities
The Administrative Secretary will be responsible for supporting your operations, tracking
projects, assisting with communications, coordinating logistics, and ensuring the office side
of your business runs smoothly. Typical tasks include:
Office & Correspondence Management
Receive, screen and route phone calls, emails and visitors.
Draft, type, edit and format correspondence, memos, reports and presentations.
Manage incoming and outgoing mail, packages, faxes, scanning, filing.
Maintain and update databases, Excel spreadsheets, filing systems (both digital and physical).
Scheduling & Coordination
Maintain calendars, schedule and coordinate meetings, appointments, and project review sessions.
Make travel arrangements / logistics for staff or management (if applicable), including
booking transport and accommodation.
Arrange office events, workshops or training sessions (e.g., solar/electrical training
manual rollout).
Support to Projects and Operations
Provide administrative support to project teams: documenting project progress, maintaining
files, ensuring documentation is up-to-date.
Coordinate with procurement/logistics: monitor office supplies, tools, and equipment; liaise
with vendors for office consumables.
Liaise between internal departments (technical teams, field staff) and management to ensure
smooth communication flow.
Record-keeping and Reporting
Maintain records of staff (attendance, trainings, travel), and asset registers for office equipment.
Assist in preparing weekly or monthly reports for management on administrative matters,
supply levels, meeting minutes, etc.
Ensure confidentiality of sensitive information (contracts, staff records).
Reception & Front-Desk Duties
Serve as first point of contact for visitors/clients at the office.
Ensure reception area is professional, supplies stocked, and meeting rooms prepared for
client visits or team meetings.
Other Duties as Assigned
Assist with marketing/admin tasks for your solar training manual, update website or social
media admin pages, or support invoicing/finance admin tasks.
Proactively suggest improvements to administrative systems to support efficiency in the company.
